Confirm venue permission, access, placement and removal before your balloon installation. Use the free editable brief to give your venue and décor team the same plan.
Give your venue and décor team the same written brief: the approved installation location, permitted attachment method, access window, clear guest route, weather alternative and removal responsibility. A photo and a named venue contact are more useful than a theme description alone. Confirm the plan before treating the setup as approved.
Use the editable venue installation brief to collect those answers. It works in your browser and can be printed or saved as a PDF. It does not submit a quote or reserve a date.
Start with permission, not a Pinterest picture
A reference image explains the mood; it does not tell your installer what the room permits. Ask the venue which surfaces, freestanding structures and attachment methods it approves. Do not assume tape, hooks, wall contact or ceiling suspension are allowed. Ask who can approve the final position and whether approval must be in writing.
Send one wide photo of the proposed area, one photo of the access route, and usable dimensions supplied or confirmed by the venue. Identify nearby doors, signs, sprinklers, lighting, air vents and other features the venue says must stay clear. Your décor team should confirm what is feasible; a sketch is not an engineering or fire-safety approval.
If you are still choosing a location, start with the Palm Beach County venue guide, then request the venue's own rules. A hotel ballroom, a restaurant and a public park may have very different approval processes.
Write down the full access window
The event start time is only one deadline. Record the earliest vehicle arrival, loading location, elevator availability, room access, installation completion, guest arrival, removal start and final collection time. Include the person who can unlock the room and the person authorized to answer a last-minute placement question.
Ask whether other vendors will use the same access route. A narrow service elevator shared with catering can change the practical setup sequence. Confirm parking, loading reservations and any insurance or vendor-document requirements with the venue. Do not assume these are included in a décor quote until the scope says so.
For a recurring office celebration or venue series, keep the approved floor position and access instructions in a reusable brief, then reconfirm the date-specific details. The corporate event décor page can help you describe the type of event when requesting a proposal.
Make placement and removal someone’s responsibility
Write who approves placement on arrival, who monitors the display during the event and who removes each item. Distinguish rented frames or props from balloons or printed pieces the client may keep. Ask how the venue wants waste handled and whether overnight storage is permitted.
Keep entrances, exits and the venue's required circulation routes clear. Do not place a photo moment where a queue would obstruct them. Ask the venue to confirm the route on the sketch rather than relying on a generic clearance number from an online article.
For events with children, make balloon cleanup part of the plan. The U.S. Consumer Product Safety Commission warns that uninflated balloons and broken balloon pieces can cause suffocation. Adults should supervise balloon use and dispose of broken pieces promptly. Décor is not a substitute for adult supervision.
Plan an outdoor alternative before the day
Ask the venue and installer what conditions would require moving, changing or cancelling the outdoor setup. Record who makes that decision, when they make it, the indoor alternative and how any scope change will be confirmed. Do not promise a particular outdoor lifespan or wind tolerance without the installer's assessment of the actual design and site.
If the location is public property, check the relevant jurisdiction's current event process before booking. For example, the Town of Palm Beach's permit information requests event details including a site plan and timeline and describes insurance requirements. That is a local example, not a rule for every South Florida venue. The venue or permitting authority must confirm which requirements apply to your event.
A worked example: a small corporate reception
Here is a hypothetical planning example, not a completed PopPop project. An office team wants a freestanding photo backdrop for a reception beginning at 6 p.m. They initially request an entrance arch because it looks welcoming.
The venue contact identifies the entrance as a busy circulation area. The revised brief places the backdrop in a side alcove, subject to venue and installer approval. The organizer provides a wide photo, confirmed usable dimensions and the location of nearby doors. The request specifies no attachment to walls; the installer still needs to approve the structure and positioning.
The brief records room access at 3 p.m., a requested completion time of 5 p.m., a venue contact available during setup and removal after guests leave. These are example requested times, not PopPop service promises. The organizer asks for the final access and removal schedule to be confirmed in the proposal.
This improves the enquiry: the décor team can assess the actual location and scope instead of quoting an image with missing logistics. If the alcove is unavailable, the brief names a second location to assess; it does not assume permission transfers automatically.
Copy this message to your venue
We are planning a balloon display for [event/date]. Could you confirm the approved location and usable dimensions, permitted attachment or freestanding options, room access and removal windows, loading instructions, required vendor documents, and the contact who can approve placement? Please flag any doors, signs, equipment or guest routes that must remain clear. If outdoors, what indoor alternative and weather decision process should we use?
Put the answers in the venue brief. For the wider planning timeline, use the existing party countdown and planning checklist. Keep private access codes and sensitive contact information out of public reference boards.
Ready to request a proposal?
Use PopPop’s quote builder with your event date, city, venue, desired display and confirmed access notes. Mention any unanswered venue questions. The team still needs to confirm availability, design, final pricing and responsibilities; submitting a request does not reserve the date.
